46870138 February 19, 2019 PRINCIPAL DUTIES & RESPONSIBILITIES Lease Accounting Specialist
Manage monthly rent processes, reconcile real estate taxes and common area maintenance (CAM), and perform preliminary audit of annual reconciliations as provided by landlords, to identify obvious overcharges.
Responsible for updating and maintaining quality control of landlord information, lease payments and all other lease data in the Tririga lease administration software system to ensure documentation prepared, accurately reflects all critical lease information.
Responsible for adhering to proper internal control compliance in accordance with SOX documentation.
Participate in the day-to-day management of leased properties with specific attention to account activities and any other rent-related or invoicing issues.
Finance, Accounting & Audit
Timely resolve lease and invoice problems, including notices of default, with particular attention to detail and Lease terms/responsibilities.
Responsible for determining lease obligations with respect to gross sales and any necessary reporting of gross sales to landlords.
Coordinate audit requests and communicate with external CAM audit partners to maximize potential landlord overcharges and audit findings.
Address/handle to completion all property issues that arise, together with other appropriate Ulta Beauty personnel.
Collaborate within Accounting and with Legal, Repairs & Maintenance, and Store Operations and participate with an enterprise wide perspective on accounting and lease related developments.
Monitor lease renewal and expiration notices generated from the Tririga software system.
Responsible for reading and tracking of all lease agreements with high sense of urgency on follow up for reimbursements.
Verify legitimacy of all requested vendor changes by obtaining and reviewing documentation including deeds, assignment of leases, other operating agreements, and W-9s.
Participate in other Lease Administration activities as designated by Manager - Lease Accounting & Administration.
Requirements JOB REQUIREMENTS
Lease administration/real estate or accounting background, with responsibility for enforcing lease rights.
Excellent written and oral communication skills, maturity in judgment and managing difficult situations with outside business partners.
Strong attention to detail required.
Exceptional organizational skills, ability to solve problems timely and resourcefully.
Ability to prioritize and determine appropriate sense of urgency for various tasks, while maintaining a high degree of attention to detail in a fast paced, often high- pressured environment.
Demonstrate a positive, professional and client-oriented attitude with coworkers, landlords, vendors and other members of the public whether contact is by mail, telephone, e-mail, or in person.
SPECIAL POSITION REQUIREMENTS
Bachelor's degree, preferably in accounting
Analytical skills, and property accounting background strongly preferred.
Minimum 3 years' experience in lease administration or accounting function with some decision-making responsibility preferred.
Strong time management skills with ability to adapt and respond to changing conditions or priorities with a sense of urgency
Advanced computer skills, including Microsoft Outlook, Word and Excel.
Experience with IBM Tririga or other lease administration software a plus.
HOURS OF WORK & TRAVEL REQUIREMENTS:
This position requires flexibility within respective work schedule.
Very limited travel may be involved.
This position is based in the Corporate Office in Bolingbrook, IL.
